How to Get Your Non-Resident Tax Refund in Ottawa: A Step by Step Guide
Were your taxes withheld from your Canadian income sources? As a non-resident, you may be entitled to get some of that back.
Nobody like’s losing out on tax benefits – and we talk with people in Ottawa and beyond every day who tell us that they are frustrated they never learned how to figure out the non-resident tax refund process.
While we love having you show up in our office or on our calendar, we’re also into giving out some free advice. So let’s go through everything you need to know to claim your non-resident tax refund in Canada.
What’s The Deal With Non-Resident Tax Withholding?
The standard withholding rate in Canada is 25% for non-residents, but here’s the good news: you may be eligible for a lower rate or even a refund. It all comes down to knowing how different types of income are treated – such as:
- Dividends from Canadian companies
- Interest from Canadian sources
- Rental income from Canadian properties
- Royalties for Canadian rights
- Pension and retirement benefits
Each of these income types may be eligible for reduced withholding rates under tax treaties and – cha-ching! – refund opportunities.
Documents Needed for Your Refund
But hold your horses. Before you start your refund process, make sure you have these documents in hand ready to go:
- NR4 Slips: Your proof of income and taxes withheld
- Complete tax treaty forms (if applicable)
- Bank account information for direct deposit
- Proof of residency from your home country
- Income statements from all Canadian sources
Keep records throughout the year and this will make this process much easier.
Trust us. We’ve spent hours helping Ottawa dig through boxes of files or looking at digital file folders for that one item you know is in there. (It’s not.)
What Is The Refund Process?
1. Check Your Eligibility
First, check if you are eligible for a refund by reviewing your financial situation. This first step is important because it’s going to determine not only if you can claim a refund but how much you may be entitled to.
Here are the eligibility requirements you’ll want to check:
- Your total Canadian-source income: Add up all your Canadian income from employment, investments, rental properties and pensions. Each type of income may have different withholding rates and treaty provisions.
- Applicable tax treaty rates: Does your country have a tax treaty with Canada? These treaties often have reduced withholding rates – sometimes as low as 5-15% instead of 25%. Knowing these rates will help you determine if you had excess tax withheld.
- Tax already withheld: Compare your NR4 slips with the applicable treaty rates. If you had more tax withheld than the treaty rate, you are likely eligible for a refund of the difference.
- Your tax residency: Confirm you are a non-resident. This involves reviewing your ties to Canada and ensuring you meet the CRA’s definition of a non-resident.
2. Choose Your Filing Method
Choosing the right filing method can make a big difference in the speed and success of your refund claim. You have two options:
NR7-R
- Designed for claiming refunds of excess withholding tax
- Best for simple situations with one income source
- Faster than a full tax return
- If your only issue is excess withholding under a tax treaty
T1-NR Return
- A full non-resident tax return
- If you have multiple income sources
- If you want to claim additional deductions and credits
- If you are eligible for treaty benefits not covered by the NR7-R
- Better if you have rental income or business income

3. Submit Your Paperwork and Pray (Just Kidding On The Prayer Part)
Once everything’s nice and tidy, it’s time to push the launch button and get your tax refund rolling. Here are a few tips to getting things done faster:
- File within the deadline (usually 2 years from the end of the tax year)
- File early in the tax season to get processed faster
- Allow extra time if you need to get documents from multiple sources
