What is payroll source deductions?

When employees get paid, a portion of their pay are deducted and sent to CRA. These deductions are for Employment insurance (EI), Canada Pension Plan (CPP), and income taxes. The employers also pay their portion of EI and CPP for each employee. These deductions, typically for one month are due on the 15th of the following month. This called source deduction payments. A form called PD7A is completed and sent to CRA with a payment.

What is included in PD7A

Gross payroll, number of employees, month of deductions, payments. At Numetrica we typically file these source deduction payments online either through CRA website or through banks.

Are there penalties if payments or source deductions are filed late.

Yes there are interest and penalties for submitting source deductions late to CRA. At Numetrica our accountants and bookkeepers send reminders to our clients to remind them about source deduction payments. In addition, most of our accounting and bookkeeping clients payroll are automated so these source deductions are calculated and reports are generated very early.

What software are great for preparing payroll

At Numetrica our accountants and bookkeepers either use Quickbooks Online or Wagepoint to calculate payroll and source deductions and remit them to CRA.

How do I remit payroll deductions to CRA

You’ll need payroll program (RP) account number.
Your business’ complete legal name.
Address, and telephone number.
The remitting period your remittance month

How do you open a payroll program account

As soon as you know that you are hiring someone call CRA at 1 800 959 5525 and activate your payroll account. Your payroll account is the same as your HST and Business number however, it gets a RP0001

What happens to all source deduction payments?

At the end of the year, all the source deduction payments ended up in a form we call T4 Summary and T4 Slips. All the employee individual deductions plus remittance by the employers should agree to what was send to CRA and also match to T4 Summary. If there are discrepancies, it different has to be detailed and explained to CRA. Often if discrepancies are high, payroll audit may be initiated so CRA can exam payroll deductions. Using an automated software is the best way to calculate and prepare payroll and source deductions.

What is NIL remittance

Your PD7A may also include a Nil remittance form. This form is used to notify the CRA that you will not have employees for a particular period or that your account should be closed. If PD7A is not send to CRA for a particular month, you may get a call from CRA and asking why it wasn’t sent. At Numetrica, we advise our client to send a NIL remittance so the phone call can be avoided and also notify CRA that there was no payroll for a particular month.
